Unpaid Leave (Happens Rarely)

If you've used up your annual leave but still need/want to take time off, you can request unpaid leave by following these steps:

  1. Get written approval from Adam
  2. Open EasyLeave and create a new leave request
  3. Use "Unpaid Leave" as your leave type

As per Fair Work, if an employee is on unpaid leave on both sides of a public holiday, they will not be entitled to payment for the public holiday.

If your laptop is SSW owned, you should leave it in the office if you are on leave for a long time. Ask Adam something like "Who will be using my PC while I am away?"

Taking Extended Leave (Happens Rarely)

If you want to book in that sabbatical holiday or are waiting for a new member of the family (Maternity/Paternity Leave), it is important that you tell the SysAdmins and your State Manager - we will temporarily disable your CRM record so you don't appear on reports (e.g. BookedInDays).

If you are taking leave that will last 3 or more months (includes maternity leave and/or any other kind that is 3+ months), send an email using Outlook | New Email | Content Chooser | All Staff Email Templates | Select leave-request-extended-leave-more-than-3-months

Don't worry... this is easy to switch back again as soon as you get back :)

Overtime (Happens Rarely)

Working extra hours is not the norm but is occasionally necessary to provide effective service and meet deadlines. While SSW does not pay unauthorized overtime, obtaining approval for paid overtime in the following circumstances is simple, so long as you follow the required steps:

Weekend

Weekday

  • Billable - Work a minimum of 3 hours billable time above a normal 8-hour working day and follow the Overtime Approval steps.

    • If you do > 2 hours, but less than 3, see "sleep in" below.
  • Non-billable - There is no paid overtime for this but if you work a minimum of 2 hours above a normal working day, you receive a "sleep in" (i.e. you can arrive 1 hour late the next morning).

    • Make sure you get this approved and send an email to SSW{{ LOCATION }}Admin with subject: - I'll be in 1 hour late tomorrow.
    • The only exception to this is if you're working on a weekend (with pre-approval). In this case, you can put in overtime as if it was billable.

Overtime for contractors will be paid, while for employees it will be added to their leave balance as "time off in lieu".

Travel

  • SSW does not pay overtime for travel time.

Switching days (Happens Rarely)

At times you may need to rearrange your work schedule to suit client schedules, travel needs or accommodate unforeseen circumstances.

Examples:

  • A client might not be available on Monday and may request to work on Saturday instead.
  • You might need to leave 2 hours early on a friday, so you work 2 hours extra on the Thursday or the Monday to compensate.

If that is the case:

  1. Put in Overtime for the extra day.
  2. Put in a leave request for the day you’re taking off.

Note that you should makeup the time ideally the day before or the day after, and not spread it out.

Jury Duty (Happens Rarely)

A prospective juror may be excused from jury duty due to work commitments. If you have client work booked in during the period of your prospective jury duty, you may get an excusal document written by your State Manager to include with your prospective jury duty questionnaire.
